1. Introduction
Simple CRM AI ("we," "us," or "our") operates the Simple CRM AI web application at simplecrmai.com and related services (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Service.
By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
2. Information we collect
We collect information you provide and information generated through your use of the Service:
- Account information: name, email address, password (stored securely by our authentication provider), and workspace profile details.
- CRM data: leads, contacts, pipeline stages, notes, activities, reminders, forms, automation rules, and message drafts you create in the Service.
- Integration data: when you connect Google or Apple, we may access data you authorize (such as Gmail, Calendar, or contacts) solely to provide sync and CRM features you enable.
- Payment information: if you subscribe to a paid plan, payment processing is handled by Stripe; we do not store full card numbers on our servers.
- Usage and technical data: device type, browser, IP address, log data, and cookies or similar technologies needed to operate and secure the Service.
- Voice features (optional): if you use Pat voice mode, speech is processed in your browser using on-device models; we do not send raw voice recordings to our servers for transcription.
- AI interactions: messages you send to Pat or per-lead agents are processed to generate responses and may be stored in your workspace history.
3. How we use information
We use collected information to:
- Provide, maintain, and improve the Service.
- Authenticate users and secure accounts.
- Run AI-assisted features you request (pipeline help, drafting, automation).
- Process subscriptions and send billing-related communications.
- Respond to support requests and enforce our Terms of Use.
- Comply with legal obligations and protect against fraud or abuse.
4. How we share information
We do not sell your personal information. We may share information with service providers who help us operate the Service, including hosting, authentication, payment, email, and AI infrastructure providers, under contracts that require appropriate safeguards.
We may disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets (with notice where required by law).
You control integrations: data shared with Google, Apple, or other third parties is governed by those services' policies when you connect them.
5. Data retention
We retain your information while your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements.
You may delete leads, contacts, or other CRM records within the app. Account deletion requests may be sent to us at the contact email below.
6. Security
We use industry-standard measures to protect data, including encryption in transit, access controls, and row-level security on workspace data where applicable.
No method of transmission or storage is completely secure; we cannot guarantee absolute security.
7. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or export personal data, or to object to or restrict certain processing.
You can update profile information in Settings, disconnect integrations, and manage marketing preferences where offered.

8. International users
The Service may be operated from the United States. If you access the Service from other regions, you understand that information may be transferred to and processed in the United States or other countries where our providers operate.
9. Children

10. Changes
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the effective date. Continued use after changes constitutes acceptance.
